This website, officiantdoug.com, is operated by Officiant Doug, LLC, a wedding officiant business based at 455 Harrison Ave, Suite H, Panama City, FL 32401, serving couples throughout Florida, Alabama, and Georgia. In this policy, “we,” “us,” and “our” refer to Officiant Doug, LLC.

This policy covers the information handled through this website and through the ordinary work of planning and performing a ceremony. It does not cover the practices of venues, photographers, planners, or other vendors you may work with independently.

2. Information you share with us

Most of what we hold is information you give us on purpose, so that a ceremony can actually happen. Depending on how far along you are, this may include:

• Inquiry details. Your name, email address, phone number, ceremony date, location, and anything you tell us about the ceremony you have in mind when you submit the contact form or reach out by email, phone, or text.
• Booking details. Information needed to schedule and confirm a date, including chapel appointment requests, and any agreements or invoices connected with your booking.
• Ceremony and marriage license information. Legal names, addresses, dates of birth, and marriage license details required to solemnize a marriage and complete the license for return to the issuing county clerk, as required by state law.
• Your story. Notes, readings, vows, family details, and other personal context you choose to share so the ceremony can be written for you.
• Feedback. Reviews or testimonials you choose to write, and any messages you send us afterward.

You are never required to share personal stories or family details. Ceremony planning works with as much or as little as you want to give.

3. Information collected automatically

Like most websites, this site is served by a hosting provider that keeps standard technical logs. These logs may include your IP address, browser and device type, the pages you requested, referring pages, and the date and time of your visit. They are used to keep the site available, secure, and working correctly.

This site does not run its own advertising or behavioral tracking, and we do not build advertising profiles from your visit. Some embedded third-party features described below may collect technical information of their own.

4. How information is used

Information is used only for the purposes it was given for:

• To answer your inquiry and discuss your date, location, and options.
• To check availability, hold a date, and confirm a booking.
• To prepare and perform your ceremony, and to write it in a way that reflects you.
• To complete and file your marriage license as required by law.
• To send messages related to your booking, such as scheduling, planning questions, and reminders.
• To send invoices or receipts and keep the business records we are required to keep.
• To operate, secure, and improve this website.
• To publish a review or photo, only where you have agreed to it.

We do not sell your personal information, and we do not rent or trade it to third parties for their own marketing.

5. Third-party services used on this site

A few features on this website are provided by outside companies. When you use them, your information is handled under that company’s own privacy policy as well as this one.

Contact and client management

The contact form is embedded from 17hats, the client management system used to receive inquiries, send agreements, and manage bookings. Information you submit through that form is stored in that system.

Chapel booking calendar

Chapel availability and booking requests are handled through Google Calendar appointment scheduling. Requesting a time sends your booking details to that service and to us.

Client reviews

The reviews page displays public reviews through a SociableKit widget, which loads review content from public sources such as Google. It shows reviews that are already public; it does not collect ceremony details from you.

Fonts and hosting

Typefaces are loaded from Google Fonts, which means your browser requests files from Google’s servers and Google receives your IP address as part of that request. The site itself is hosted on Netlify, which processes the technical log information described above.

Embedded features load content from other companies’ servers. If you would rather not load them, most browsers and privacy extensions let you block third-party frames and scripts — you can always reach us directly by phone or email instead.

6. When information is shared

Your information is shared only in these limited situations:

• Legally required filings. Marriage license information is returned to the county clerk or issuing authority as state law requires. Completed marriage records are generally public records held by that authority.
• Service providers. The companies that help run the business — client management, scheduling, email, payment processing, and website hosting — may process information on our behalf in order to provide those services.
• Coordination for your event. If needed to make your ceremony run smoothly, practical details such as timing or arrival logistics may be shared with your venue, planner, or photographer — with your knowledge.
• Legal obligations. Where we are required to respond to a lawful request, or where disclosure is necessary to protect our legal rights or someone’s safety.

The private things you share for your ceremony — your story, your vows, family circumstances — stay between us unless you ask otherwise.

7. Photos, reviews, and testimonials

Photographs from ceremonies and written testimonials are sometimes used on this website or on social media. These are published with permission. If a photo, name, or quote of yours appears here and you would like it changed or taken down, contact us and it will be removed promptly.

8. Cookies and similar technologies

This website does not set its own advertising or analytics cookies. Embedded third-party features — the contact form, booking calendar, and reviews widget — may set cookies or use similar storage in order to function or to measure their own usage.

You can control cookies through your browser settings, including blocking or deleting them. Blocking cookies for the embedded features may prevent the form or calendar from working properly.

9. How long information is kept

Inquiry information is kept while we are in touch about a possible date, and for a reasonable period afterward in case you come back to us. Booking, agreement, payment, and marriage license records are kept as long as needed for the ceremony and for the business, tax, and legal record-keeping periods that apply. Website server logs are kept for a short period by the hosting provider.

When information is no longer needed for these purposes, it is deleted or archived.

10. Security

This site is served over an encrypted HTTPS connection, and the services used to manage inquiries, bookings, and payments are established providers with their own security measures. Access to client information is limited to what is needed to serve you.

No method of transmission or storage is completely secure, so please avoid sending sensitive information such as full financial account details by email or text.

11. Your choices

You are in control of what you share with us, and you can ask us about it at any time:

• Access and correction. Ask what information we hold about you, or ask us to correct it.
• Deletion. Ask us to delete your information. We will honor the request except where we are required to keep records — for example, a filed marriage license or required financial records.
• Messages. Ask us to stop sending non-essential messages. Messages directly about a booked ceremony will continue while your booking is active.
• Content about you. Ask us to remove a photo, name, or testimonial from this website or our social media.

To make a request, use the contact details below. We may need to confirm who you are before acting on it. Where privacy laws in your state or country give you additional rights, we will honor those rights as they apply.

12. Children’s privacy

This website is intended for adults arranging a ceremony and is not directed to children under 13. We do not knowingly collect personal information from children. Where a child is part of a ceremony — a family blessing or a reading, for example — any details are provided by a parent or guardian and used only for that ceremony. If you believe a child’s information has been provided otherwise, contact us and it will be deleted.

13. Changes to this policy

This policy may be updated as the business or the tools it uses change. The revised version will be posted on this page with a new “last updated” date. Significant changes affecting how your information is used will be communicated directly to current clients.
