1. Who we are
Our websites — officiantdoug.com and learn.officiantdoug.com — are operated by Officiant Doug, LLC, a wedding officiant and premarital education business based at 455 Harrison Ave, Suite H, Panama City, FL 32401, serving couples throughout Florida, Alabama, and Georgia. In this policy, “we,” “us,” and “our” refer to Officiant Doug, LLC.
2. What this policy covers
This policy covers the information handled through our websites, through the ordinary work of planning and performing a ceremony, and through the online courses and digital materials we sell — including our premarital course, Your Story, Together.
It does not cover the practices of venues, photographers, planners, or other vendors you work with independently, or of any other company’s site you reach through a link from ours. Those businesses handle your information under their own policies, and we encourage you to read them.
This policy also forms part of our Terms of Use and Service.
4. Information collected automatically
Like most websites, our sites are served by hosting and platform providers that keep standard technical logs. These logs may include your IP address, browser and device type, operating system version, the pages or lessons you requested, referring pages, and the date and time of your visit. They are used to keep the sites available, secure, and working correctly, and to give you a sensible experience on the device you are using.
We may also use automated methods on our websites, in our communications with you, and in our courses to measure performance and engagement — for example, whether a course email was opened or how far through a lesson people generally get.
Our sites do not run their own advertising or behavioral tracking, and we do not build advertising profiles from your visit. Some embedded third-party features described below may collect technical information of their own.
5. How information is used
Information is used only for the purposes it was given for:
- To answer your inquiry and discuss your date, location, and options.
- To check availability, hold a date, and confirm a booking.
- To prepare and perform your ceremony, and to write it in a way that reflects you.
- To complete and file your marriage license as required by law.
- To give you access to a course you enrolled in, deliver its materials, track your completion, and issue your certificate.
- To send messages related to your booking or your course, such as scheduling, planning questions, lesson access, and reminders.
- To send invoices or receipts, process payments, and keep the business records we are required to keep.
- To send you email about our services, courses, and related updates — including new offerings, changes to what we offer, occasional surveys about how a course worked for you, or a request for your opinion — where you have agreed to receive it.
- To operate, secure, and improve our websites and courses.
- To publish a review or photo, only where you have agreed to it.
We do not sell your personal information, and we do not rent or trade it to third parties for their own marketing.
6. Consent, and how to withdraw it
When you give us personal information to inquire about a ceremony, book a date, enroll in a course, or make a purchase, you are consenting to our collecting it and using it for that specific reason.
If we ever want to use your information for a secondary reason — marketing being the usual one — we will either ask you for your consent directly or give you a clear way to opt out where consent is implied.
Withdrawing your consent
If you change your mind, you can withdraw your consent at any time by emailing doug@officiantdoug.com, or by using the unsubscribe link at the bottom of any marketing email. Two practical limits apply: messages we need to send about a ceremony you have booked or a course you are enrolled in will continue while that is active, and we cannot delete records we are legally required to keep, such as a filed marriage license or required financial records.
7. Emails and messages
There are two kinds of messages we send, and they work differently.
Messages about your ceremony or your course — scheduling, planning questions, license logistics, lesson access, reminders, invoices, and receipts — are part of the service you asked for. They continue while your booking or enrollment is active, and they do not carry an unsubscribe link, because you need them.
Marketing email — news about our services and courses, new offerings, occasional surveys about how a course worked for you — is sent only where you have agreed to receive it. Every one of those messages has an unsubscribe link at the bottom, and using it stops them. You can also simply reply and ask, and we will take you off the list.
If you give us a mobile number, we may call or text you about scheduling and day-of logistics, because that is often the fastest way to reach someone on a wedding day. Tell us at any time that you would rather not be texted, and we will stop.
Our email provider records ordinary delivery information — whether a message was delivered, opened, or a link in it was clicked — so we can tell whether course and planning emails are actually reaching people. It is not used to build an advertising profile of you.
8. Payments
When you pay for a course or a ceremony online, the payment is handled by a third-party payment processor such as Stripe or PayPal, or through the invoicing built into our client management and learning platforms. We do not store your full card number.
Payment details are encrypted in line with the Payment Card Industry Data Security Standard (PCI-DSS), and your transaction data is retained by the processor only as long as needed to complete and account for the purchase. The direct payment gateways we use adhere to PCI-DSS as managed by the PCI Security Standards Council — a joint effort of Visa, MasterCard, American Express, and Discover — which is what keeps card information handled securely by us, by our courses, and by the providers that serve them.
9. Third-party services we use
A few features on our sites are provided by outside companies. When you use them, your information is handled under that company’s own privacy policy as well as this one. In general, these providers only collect, use, and disclose your information to the extent necessary to perform the services they provide to us — though some, such as payment processors, have their own privacy policies covering the information we are required to give them to complete your transaction. We recommend reading their policies so you understand how they handle your information.
Contact and client management
The contact form is embedded from 17hats, the client management system used to receive inquiries, send agreements, and manage bookings. Information you submit through that form is stored in that system.
Chapel booking calendar
Chapel availability and booking requests are handled through Google Calendar appointment scheduling. Requesting a time sends your booking details to that service and to us.
Course platform
Our online courses are delivered through a third-party learning platform, and creating an account there is required in order to take a course. Your account details, progress, and completion records are stored on that platform, and its privacy practices apply to your account alongside this policy.
Client reviews
The reviews page displays public reviews through a SociableKit widget, which loads review content from public sources such as Google. It shows reviews that are already public; it does not collect ceremony details from you.
Fonts and hosting
Typefaces are loaded from Google Fonts, which means your browser requests files from Google’s servers and Google receives your IP address as part of that request. The site itself is hosted on Netlify, which processes the technical log information described above.
Links to other sites
Links on our sites may take you somewhere else. Once you leave our websites or are redirected to another company’s site or application, this policy and our Terms of Use and Service no longer govern what happens there. We are not responsible for the privacy practices of other sites, and we encourage you to read their privacy statements.
Embedded features load content from other companies’ servers. If you would rather not load them, most browsers and privacy extensions let you block third-party frames and scripts — you can always reach us directly by phone or email instead.
11. Photos, reviews, and testimonials
Photographs from ceremonies and written testimonials are sometimes used on our websites or on social media. These are published with permission. If a photo, name, or quote of yours appears here and you would like it changed or taken down, contact us and it will be removed promptly.
13. How long information is kept
Inquiry information is kept while we are in touch about a possible date, and for a reasonable period afterward in case you come back to us. Booking, agreement, payment, and marriage license records are kept as long as needed for the ceremony and for the business, tax, and legal record-keeping periods that apply. Course account and completion records are kept for as long as you have access to the course and afterward as needed to verify a certificate we issued. Website and platform server logs are kept for a short period by those providers.
When information is no longer needed for these purposes, it is deleted or archived.
14. Security
To protect your personal information we take reasonable precautions and follow industry best practices, so that it is not lost, misused, accessed, disclosed, altered, or destroyed inappropriately. Our sites are served over encrypted HTTPS connections, payment information is encrypted in transit and at rest by our processors, and the services used to manage inquiries, bookings, courses, and payments are established providers with their own security measures. Access to client information is limited to what is needed to serve you.
No method of transmission over the internet or method of electronic storage is completely secure, so please avoid sending sensitive information such as full financial account details by email or text.
15. Your choices
You are in control of what you share with us, and you can ask us about it at any time:
- Access and correction. Ask what information we hold about you, or ask us to correct or amend it.
- Deletion. Ask us to delete your information. We will honor the request except where we are required to keep records — for example, a filed marriage license or required financial records.
- Messages. Unsubscribe from marketing email at any time using the link in the email, or ask us to stop sending non-essential messages. Messages directly about a booked ceremony or an active course enrollment will continue.
- Content about you. Ask us to remove a photo, name, or testimonial from our websites or our social media.
- Complaints. Tell us if you think your information has been mishandled, and we will look into it.
To make a request, use the contact details below. We may need to confirm who you are before acting on it. Where privacy laws in your state or country give you additional rights, we will honor those rights as they apply.
16. Children’s privacy and age
By using our sites, booking a ceremony, or enrolling in a course, you represent that you are at least the age of majority in your state or province of residence — or that you are of the age of majority and have given us consent for any minor dependent of yours to use our sites.
Our websites are intended for adults arranging a ceremony or preparing for marriage, and are not directed to children under 13. We do not knowingly collect personal information from children. Where a child is part of a ceremony — a family blessing or a reading, for example — any details are provided by a parent or guardian and used only for that ceremony. If you believe a child’s information has been provided otherwise, contact us and it will be deleted.
17. Where your information is processed
We are based in Florida, and the information we hold is generally stored and processed in the United States. Some of the providers described above are located in, or keep facilities in, a jurisdiction other than yours or ours.
If you go ahead with a transaction that involves such a provider, your information may become subject to the laws of the places where that provider or its facilities operate. As an example, if you are outside the United States and your payment is processed by a gateway located in the United States, the information used to complete that transaction may be subject to disclosure under United States law.
If you contact us or enroll in a course from outside the United States, you are sending your information to the United States, and it will be handled under this policy and applicable United States law.
18. If the business changes hands
If Officiant Doug, LLC, our websites, or our courses are sold, merged, or otherwise acquired by another company, client and student information may be transferred to the new owners so that booked ceremonies can be honored and course access can continue.
Information transferred that way remains subject to this policy unless and until the new owner posts a different one, and we would post notice of the change on this page. If you would rather your information not transfer, contact us and we will delete what we are not legally required to keep.
19. Changes to this policy
We may modify this policy as the business, the law, or the tools we use change, so it is worth reviewing now and then. Changes take effect when the revised version is posted on this page with a new “last updated” date. If we make material changes to how your information is collected, used, or disclosed, we will say so here, and significant changes affecting current clients or enrolled students will be communicated directly.
